Confirmed spend. Estimated spend. The full picture.
Track every cost from quote to invoice in the same workspace as your vendors, floor plan, and guest list. See what's already locked in — signed vendors, paid deposits — and what you're still estimating.
- Confirmed vs. projected spend — two numbers, not one
- Per-head costs recalculate as your guest count changes
- Link vendors directly to budget line items
- Disable items to explore trade-offs — the data stays, the totals don't
At a glance
Know if you're on track in 3 seconds.
Set your total budget once. The bar shows confirmed spend (locked in) and projected spend (estimates) as two distinct fills. You can see immediately how much is committed, how much is still estimated, and how much is left — without adding up columns in a spreadsheet.
- Confirmed: what's locked in — signed vendors, deposits paid
- Projected: quotes and estimates you haven't finalised yet
- Amber warning when approaching budget; clear over-budget indicator when exceeded
- Updates live as you add, edit, or toggle line items
Every cost, organised
One table. No hidden rows.
All your costs in a single flat table, grouped by category. Click any cell to edit it inline — no panel, no modal. Add categories as you need them; only the ones with items appear. Your planner or co-host can edit the budget directly — everything is shared in the same workspace.
- Inline editing — click a cell, type, done
- Category grouping with subtotals per group
- Add, rename, and manage categories without leaving the view
- Toggle any item off to exclude it from totals — it stays visible for reference
Per-head costs
Change your guest count. Every cost updates.
Some costs are fixed. Some scale with your guest count. Some have a minimum spend — whichever is higher, the minimum or the per-guest total. Evetera models all three so you're not manually recalculating every time an RSVP comes in.
- Fixed, per-head, minimum spend, or minimum + per-head
- Live preview of the effective cost as you type
- Guest count override without changing the event's confirmed RSVP count
- Prompt to update when confirmed RSVPs exceed the count you've been budgeting for
Connected to your vendor list
Confirm the vendor. The budget follows.
When you mark a vendor as confirmed in Evetera, you're nudged to add them to the budget. The vendor's name links to their budget line item. If you remove them later, the line item flags it — no silent data gaps.
- Link any budget line item to a vendor in your event
- Confirmed vendors nudge you to confirm the cost
- Vendor status visible on the line item without switching tabs
Venue minimum spend
Track your minimum spend automatically.
Many venues — wineries and function venues especially — require a minimum spend across approved vendors. Evetera tracks it for you — showing how much of the threshold has been covered by your approved vendor costs and how much is still to cover.
- Set the minimum spend threshold on the venue line item
- Mark approved vendor costs as counting toward the minimum
- Live tracker shows coverage vs. remaining gap
- "Minimum spend covered" confirmation when the threshold is met
